Inter-Library Loan Procedures

 

All ILL and document delivery requests must be made using the ILL Request Form 

Email and phone requests are no longer accepted, as the requestor must read and accept the Copyright Notice that is required for ILL service.

Interlibrary loan (ILL) is used by WVSOM Library patrons to:

  • Request items not owned by the WVSOM Library.
  • The ILL process may also be used by WVSOM State-wide Campus (SWC) and/or MSOPTI students and faculty located off-campus for obtaining items (books, journal articles, AV materials, etc.) owned by the WVSOM Library but not available at the SWC or MSOPTI location.  

ILL requests are delivered to the requestor in the following manner:

  • Article requests or similar are sent to the email address supplied in the ILL Request Form.  These requests are most often attached as a pdf.
  • Hard-copy items, such as books, AV materials, etc are to be picked up at the WVSOM Library.  The only exceptions are for SWC or MSOPTI affiliated borrowers that indicate and/or arrange an alternate pick-up location (see FAQ's below for details).

FAQ's

How do I know what the library owns or subscribes to, and what I need to request through ILL instead?

Before you request an ILL request, you may check the WVSOM Library on-line catalog for books and audiovisual items.  Any items owned by the library and/or available at the WVSOM Library may be checked out in the library and there is no need to place an interlibrary loan request (SWC/MSOPTI affiliated students, residents, faculty and staff located off-campus may request WVSOM Library items be sent to them; see request procedures in the following FAQ).

You may also search for full-text articles and e-books available through our databases and e-journals using the E-Journal Portal or by using 360 Search (360 Search requires an off-campus login and is only available to WVSOM and MSOPTI students, staff, and faculty; email or call the library at 304-647-6261 for password assistance).   Any items not available to you in full text may then be requested instead by placing a request with the ILL Request Form.

I am a statewide campus (SWC) student, MSOPTI resident, or associated staff or faculty, and would like to request an item available at the WVSOM Library.  How do I initiate such a request?

The WVSOM Library on-line catalog has a Visual Search option available in the upper-right hand corner of the catalog page that links to icons for Statewide Collections available to WVSOM/SWC and MSOPTI patrons throughout the state.  If you can not locate an item you need within your geographical area, but discover that we have the item at the WVSOM library, you may place a request using the ILL Request Form.  Please indicate where the item should be sent to in the "Additional Contact Info." field of the form.  
Please note you are responsible for the return mail fee if you are unable to return the item to the WVSOM Library in person, and that overdue items may be assessed a fine that must be paid before graduation from WVSOM.

How long will it take to get a requested item?

Article requests typically have a very quick turn-around time, often within 36-48 hours or less.  These articles will be delivered to the requestor in electronic format (pdf or similar) through the email account supplied on the ILL Request Form.
Hard copy items, such as books or AV materials, often arrive within a week or less, but may take longer depending on the supplying library's location and ability to handle their volume of requests.
Please plan accordingly and allow enough time for receipt of materials.

How much will it cost to request an item?

We strive to obtain items free of charge, and strive to fill requests to us from other libraries in a reciprocal manner. 
WVSOM full-time/part-time faculty, WVSOM students, and MSOPTI residents and faculty may place an unlimited number of requests at no-charge. 

 Please note that books, AV materials, and other hard-copy items obtained through ILL may incur overdue fees if not returned on time.  Such fees may be passed on to the WVSOM Library patron.

I am not a WVSOM affiliated student, alumni, resident, or employee.  Can I still request an item using WVSOM Library ILL services?

WVSOM Library is open to area citizens, including licensed or certified health professionals that reside or practice in the local area; and both area citizens and local licensed/certified health professionals may register for and obtain a WVSOM Library card.  Cardholders may request ILL services using the ILL Request Form (on the form, be sure to choose the appropriate WVSOM Affiliation from the drop down box, selecting "Area health professional--no WVSOM affiliation").  The form may be used to request articles or items.  If you are not an area citizen or locally residing/practicing health professional or WVSOM affiliate, you may contact your local library to inquire about their ILL process and initiate a request for an item through their services. 

Only the cost incurred to secure the item will be charged. If an article or item is free to us, then we will not charge the patron. If there is a charge from another library for the article, then we will pass that charge to the patron after contacting you to verify your acceptance of the charge.  If possible, please indicate on the request form the maximum amount you are willing to pay to acquire an item should a fee be charged by a providing library (or indicate you do not wish to receive the item if a charge is assessed).   

Please note that books, AV materials, and other hard-copy items obtained may incur overdue fees if not returned on time.  Such fees will be placed on the WVSOM Library patron's record and must be resolved before additional materials can be checked out from the WVSOM Library or additional ILL's placed.
